Presentation Guidelines
Oral Presentations
Each Oral presentation (on-site and online) has 20 minutes: 15 minutes for the presentation, 4 minutes for Q&A, and 1 minute for transition to the next speaker.
Sessions will be held in a hybrid format (on-site + online).
Zoom URLs for each session room will be announced here soon.
When joining the session online, please change your display name to include your name and registration number, e.g. "T. Nonaka, e001".
The passcode will be sent only to registered participants by e-mail before the conference.
Video Submission (for Online Oral Presenters)
Online oral presentations MUST be given in real time (Japan Standard Time).
To prevent problems due to unexpected network troubles, online oral presenters are strongly recommended to submit a presentation video (MP4, up to 15 minutes) via EDAS. If a serious connection issue occurs, the conference staff may play your video instead of the live presentation.
[Important] If an online presenter is absent at the scheduled session time and has not submitted a video, the paper will be treated as "NO-SHOW" and will NOT be published in IEEE Xplore.
For on-site oral presenters, video submission is not mandatory.
Oral Session URLs for online participants
- On-site presentations will be given in the session room and transmitted to Zoom by webcam for online attendees.
- Online presentations will be given by Zoom in real-time and projected in the session room.
- Zoom URLs for session rooms will be announced one week before the conference.
- Please note the access code will be e-mailed only to the Registrants.
Poster Presentations
As a special arrangement, an online poster session will be held on September 26 (JST) for presenters who are unable to attend on-site due to unavoidable circumstances.
[Important] Poster presentations are, in principle, on-site only. The online poster session is an exceptional measure, and presentation time may be limited due to session constraints. If the presenter is absent from the online session at the scheduled time, the paper will be treated as "NO-SHOW" and will not be published in IEEE Xplore.Poster (On-site)
Presenters will be divided into two groups and present their papers alternately. The core time for each group is 40 minutes.
- Panelboards for each poster will be provided each morning.
- The board is 2.1 meters high and 0.9 meters wide, maximum A0 size (1.190 m x 0.841 m) poster is available. Materials for attaching the poster, e.g., pushpins, will be at the poster session room.
- Poster titles will be indicated in the label on the panel. Please complete setting up your Poster and Demo before the start time of each session.
- Presenters MUST be in front of the poster panel and present during the core time below.
- [Important] If presenters are NOT present in front of the poster panel during the core time, the papers will be treated as "NO-SHOW" and will NOT be published in IEEE Xplore.
Virtual Poster (only for POS-V session)
The sessions will be held on September 26 in online format. If you need to change your poster presentation to an online format, please contact support[at]ieee-gcce.org immediately.
Each online poster presenter is required to:
- Give a 3-minute shotgun presentation (short oral introduction of the poster).
- Join the subsequent online discussion session for Q&A with participants.
Demo! Presentations
Demo! presentations are on-site only and will not be streamed online.
GCCE provides the following for the Demo! presentations:
- A demo booth with a poster panel and a desk
- 100V-2A AC outlet (ask us for more amps)
- 802.11g Wireless Network
- These will be shared among all presenters. It is not suitable for higher-rate streaming (e.g. HQ videos).
The demo spaces will be arranged with approximately 900 mm distance between each booth.

Please write "Demo Session Equipment" in red and make sure it arrives between 10:00 and 18:00 on September 22 or 23.
If you are sending multiple packages, please let us know in advance how many packages you are sending. Please manage your equipment yourself.
